Introduction

Business performance analytics (BPA) in Dynamics 365 (D365) is a powerful tool that leverages data-driven insights to evaluate and enhance the efficiency of a business. By collecting and analyzing data related to various aspects of a company’s operations, including finance, BPA provides a clear view of performance trends and key metrics. This enables organizations to make informed, strategic decisions that drive growth and optimize business outcomes.

Cost of BPA:

  • BPA is part of the Finance license there is no additional cost to install.
  • Extensibility –using links into customer own fabric environment(chargeable).

 BPA at General Availability (GA):

  • Data refreshes two times a day.
  • Ability to view/edit reports in GA.
  • As part of the finance license, Data availability will be 3 years of history and current year (rolling 4 years)

Request for application link.

  • Once you click on the install link, below form will open and user must fill required fields and submit it.
  • So, once we submit the form, we will receive an application link through the provided mail, then we can install the app.
  • The installation process generally takes up to an hour and once the installation is completed, within 24 hours your reports should be available in BPA.

Business process analytics setups:

  • So, after installation of app, in this way user can move to BPA environment, where an app will be available from D365 workspace.
  • Once the user clicks on the BPA application it will take us to the BPA Reports page.

Set up Dimensions:

To set up dimensions to secure access to data

  • Go to Administration > dimensions > select dimensions.
  • Select up to five dimensions to secure access to data. If you don’t secure a dimension, all users can access the values in that dimension.
  • Click Save.

Set up Dimension Groups:

 Here user can create dimension groups.

  • Go to Administration > dimension groups > +Group.
• Go to Administration > dimension groups > +Group.
  • Enter a name for the dimension group, and then click Next.
  • When the Set-up dimensions to securestep is completed, the selected dimensions are shown here.
  • Click on Select specific valuesto select the exact dimension values to use in a dimension group. To add a range of dimension values, use a Between You can add a maximum of five ranges.
  • Select Preview resultsto preview the values that will be filtered based on your selections. In this way, you can determine what values for each dimension will be visible to the users who are assigned this dimension group
  • When you’ve made your selections for all dimensions that must be secured, click Next. You can review the selections on the Reviewtab of the New dimension group dialog box.
  • Click Create.

Set up Roles:

  • The first user who signs in to the app is assigned the BPA admin This role allows the user to access the Administratorsection of BPA, where they can set up security.
  • The admin is automatically assigned the Microsoft report viewerrole and the All-access dimension group.
  • The Microsoft report viewer role allows a user to view all reports that Microsoft provides in Business performance analytics.
  • The All-access dimension group allows a user to view data for all dimensions.
  • A role defines which reports a user can access. Use roles to organize how Business performance analytics users can access reports.

Create a new role:

  • Go to Administration > Roles > +Role.
  • These roles can be given to access specific reports and can create roles, which allow us to grant access for the selected reports.

Set up Users:

After Create the roles and dimension groups, you can set up users so that they have access to BPA.

  • Go to Administration > users > User.
  • Search for the username or email address to set up in Business performance analytics and click on Add user.
  • Assign at least one role and one dimension group to the user from drop-down.
  • To make this user a BPA admin, select App administrator as Yes and
  • click

View reports:

  • BPA provides 14 inbuild financial reports.
  • User can click on the report from all reports.

 

  • Here, once the default report is clicked to open, all the data related to the specific environment, creates the report with the standard report framework.
  • Here, the user can view the report based on the filters available like currency, legal entity, accounting dates, number type, decimal places and can expand the data tables.
  • We can export report data excel like other Power Bi report.

Create New report:

  • Users can create their own report by clicking on New report.
  • Give the report name and can select the report type as Excel or Power BI and click on start with blank report and click on create.
Duplicate a Microsoft Report
  • If you want to create a duplicate report, select Duplicate a Microsoft Report then select the report from dropdown and click on
  • In the reports section, user can find all the default reports, and find the created custom report as shown below in the picture, click on that report.
  • Click on edit to add data and create report.
  • Can create your own report with required data.
  • Users can pick or drag and drop the data in the report area and click on save.

Prerequisites:

These steps must be completed.

  • Configure Microsoft Power Platform Integration
  • Configure the Microsoft Entra tenant
  • Enable Power Apps users
  • Set up required configurations in D365 Finance
  • Set up required configurations in Power Platform Admin Center

Notes:

  • Financial reporting is near real time, so you put your transactions into F&O see your transactions in financial reporting almost instantly, right.
  • BPA currently has a 24-hour lag time between when you enter your transactions and when you see them in BPA. So, it’s not something a direct replacement for financial reporting.
  • Please ensure that you are in Tier 2 environment(multi-box) and on D365 finance version 10.0.38 or later. Move data from production to sandbox environment if needed.
  • We can link BPA with fabric environment, based on the fabric shortcuts you can access directly the data which is stored within BBA in your fabric instance and can build your own data sets and reports and exit files.
